Overview

When does a business need a custom web application?

Most businesses should use existing software where it fits. It is cheaper and someone else maintains it. But there comes a point where spreadsheets, copy-paste between tools and workarounds cost more than building the right thing. That is when custom web application development makes sense.

Common signs:

  • Your team re-types the same data into two or three systems.
  • Quotes or bookings follow rules no off-the-shelf tool handles.
  • Clients email for updates you could show them in a portal.
  • You pay for several subscriptions to stitch together one workflow.
  • You have an idea for a product or tool you want to sell to others.

What kinds of web apps do we build?

Client portals

Secure logins where clients can see project status, documents, invoices or results, instead of emailing your team.

Booking, quoting and calculator tools

Instant quote builders for renovation or service businesses, eligibility checkers, multi-step booking flows with custom rules, and pricing calculators that feed straight into your CRM.

Internal dashboards and admin tools

One place to see leads, jobs, stock or staff schedules, pulling data from the tools you already use.

Integrations and automation

Connecting your website, CRM, accounting, email marketing and ad platforms through their APIs so data moves without manual work.

Minimum viable products

For founders testing a SaaS or marketplace idea, we build a focused first version to validate with real users before investing further.

How we keep custom software manageable

Custom builds can go over budget when scope is vague. We work hard to prevent that:

  • Discovery before code. We map users, screens, data and rules in writing first.
  • Phased delivery. A small, useful first version, then improvements based on real use.
  • Fixed-price phases. Each phase is quoted up front. New ideas become a new quoted phase, not a surprise invoice.
  • Proven technology. Mainstream, well-documented frameworks and databases, so another developer could pick up the code if needed.
  • Documentation. Set-up notes, environment details and a plain-English overview of how the system works.

How we work

1. Free consultation and audit

Tell us about the process that is slowing you down. If it touches your website or marketing, we include a free growth audit, delivered within two business days.

2. Discovery and scope

We document users, features, data, integrations and success criteria, then agree what is in the first version and what waits.

3. Design and prototype

Clickable screens let you test the flow before development starts.

4. Build in sprints

We build in short cycles and share working progress regularly on a staging environment, so you can give feedback early.

5. Test, launch and support

We test core flows, permissions and edge cases, deploy to hosting in your name and support the first weeks of real use.

What you get

  • Written scope and feature list for each phase
  • Clickable prototype of key screens
  • A responsive web app that works on desktop and mobile
  • User accounts, roles and permissions as needed
  • Integrations with your existing tools via their APIs
  • Deployment to infrastructure in your name
  • Source code in a repository you own, plus documentation
  • Post-launch support period

Should you build custom software or buy a subscription tool?

This is the most important question, and we would rather answer it honestly than win a project. A quick way to think about it:

  • Buy when a well-known tool covers most of your process, the monthly cost is reasonable, and the gaps are minor. Configure it well and live with small compromises.
  • Integrate when you have good tools that do not talk to each other. Often a small custom integration delivers most of the value at a fraction of the cost of a full build.
  • Build when your process is a genuine advantage, no tool fits without painful workarounds, or you plan to offer the software to your own customers.

Remember to count the full cost of each option: subscriptions over several years, staff time spent on workarounds, and the ongoing hosting and maintenance a custom app needs. We include running costs in every proposal so you can compare like for like.

Who owns the code?

You do. Source code lives in a repository under your account, and hosting, domains and third-party services are in your name. We do not hold your software hostage, and you are free to bring in another developer at any time.

What about security and data?

We follow sensible practices: encrypted connections, hashed passwords, role-based access, input validation, backups and keeping dependencies updated. If your app handles sensitive data, such as health information, we discuss the regulations that may apply to you, and you may need specialist compliance advice. We will be upfront about what we can and cannot take responsibility for.

Custom apps alongside your website

Many of our custom builds sit next to a marketing website: a quote calculator on a builder's site, a client portal for a professional services firm, or a booking flow for a clinic. Our website design, WordPress and Shopify teams work together so the experience feels like one product.

How much does a custom web app cost?

It depends entirely on scope, which is why we quote each phase at a fixed price after discovery. Small tools and integrations can be modest projects; portals and SaaS products are larger. Running costs such as hosting and third-party services are listed in the quote and paid on your accounts.

FAQ

Questions we hear a lot.

How long does a custom web app take to build?

It depends on scope. A focused tool or integration can take a few weeks; portals and products take longer. We break work into phases, each with its own timeline and fixed price.

Do I own the source code?

Yes. The code lives in a repository under your account and is yours to keep, change or hand to another developer.

What technology do you use?

Mainstream, well-documented frameworks and databases chosen for your needs, so the app is maintainable long term.

Can you integrate with my existing software?

Usually, if the software offers an API or export. We confirm what is possible during discovery.

Should I build custom or use an existing tool?

If an existing tool covers most of your needs at a fair price, use it. We will tell you honestly when custom software is not worth it.
